With less than a year to plan, Notion had its sights set on one of the hottest meeting markets in the country: Miami. Demand was at an all-time high, and nearly every major hotel was already committed well in advance.

Despite the market conditions, Miami remained Notion’s preferred destination. The program required a venue that could deliver on experience, timing, and budget without compromise.

Miami initially showed no viable options. Nearly every major hotel was already booked, and standard sourcing channels showed no viable availability.

That persistence paid off. A large program unexpectedly dropped, opening dates that aligned with Notion’s schedule and became available at Notion’s top-choice hotel.
We immediately secured the hold and moved swiftly into contract negotiations. By leveraging existing relationships and real-time market intelligence, we negotiated rates and concessions that exceeded expectations. The final outcome was strong enough that Notion chose to extend the program by an additional room night - enhancing the attendee experience without exceeding budget.
