Project Overview
Notion has grown from a startup into a company used by millions of teams worldwide. As its global workforce continued to grow, the team set out to plan a 450-person Sales Kickoff on an ambitious timeline, with complex requirements and high expectations.
Miami was the preferred destination, even though it was one of the hottest meeting markets in the country and major hotels were already committed well in advance. The program needed a venue that could deliver on experience, timing, and budget.
The Challenge
With less than a year to plan, the team was working against tight timing in a high-demand market. Standard sourcing channels showed little to no viable availability in Miami, and nearly every major hotel was already booked.
The challenge was to secure Notion’s preferred destination and hotel without compromising the budget or slowing down planning.
How We Helped
As timelines tightened, we quickly expanded the search into seven additional destinations to keep options open and protect the planning process.
At the same time, we stayed in close contact with our Miami hotel partners to uncover availability that was not visible through standard sourcing channels. That persistence paid off when a large program unexpectedly dropped, opening dates that aligned with Notion’s schedule at their top-choice hotel.
We moved quickly to secure the hold and begin contract negotiations. By using strong hotel relationships and real-time market knowledge, we negotiated rates and concessions that exceeded expectations. The outcome was strong enough that Notion chose to add an extra room night, enhancing the attendee experience without exceeding budget.
What began as an “impossible” market ultimately delivered everything Notion had hoped for, along with momentum and confidence as their Sales Kickoff vision fully came to life.
